We’re excited to share several new updates to our Document Management System. These improvements are part of our commitment to continuously enhance Singlepoint and align it with our users’ evolving needs.

Here’s an overview of what’s new:

Mass Registration 

Our new Mass Registration Function brings a more efficient approach to document handling within our DMS. This feature integrates the GDPG feature, facilitating the registration of large volumes of documents with the necessary metadata settings. This enhancement aims to simplify the process, improving the speed of both initial setup and ongoing document management. 

Step 1: When in a DMS module you will see a node “GDPG Register Documents” and a list of GDPGs in the right-hand panel:

Step 2: Right-click on the appropriate GDPG:

Step 3: Then select “Register Docs”

Step 4: A register document window will load and you will be able to drop documents onto the drop well, select an MNL (Master Number List) or view the GDPG you have selected:

Step 5: When ready to register selected documents you can click the register button:

Step 6: You can also manage a document where revision comparison is required:

Revision Compare

Responding to a long-standing demand, we’re thrilled to introduce the Revision Compare feature. This powerful tool enables users to effortlessly compare different versions of a document, including draft versions. By default, it compares the current version against the previous one, providing a clear view of changes and updates. This will be available for over 40+ file types. 

Generative AI Integration

Taking DMS capabilities to the next level, we’ve incorporated Generative AI in two modes: ‘New Document’ and ‘Document Summary.’ 

The ‘New Document’ mode allows the AI to draft documents, like SOPs, which can then be reviewed and refined. Upon approval, these documents are automatically registered in the DMS as either draft or published, following GDPG selection. 

The ‘Document Summary’ mode enhances document management by creating concise, AI-generated summaries as attachments. 

Document Translation

We’re thrilled to introduce an update to our Document Translation feature, now available on Singlepoint Core and Professional. Users can select from 133 languages to translate and download documents in various document formats.

This update includes a ‘Translated Document’ tab for easy management and viewing of translations. After reviewing and, if required, modifying the document title, documents can be registered into DMS and are linked in a ‘Translation Group’.

Alongside DMS updates, we’ve introduced several other features across the whole Singelpoint suite:

• Cognitive Speech to Text: Building on our success in CMM, this feature converts speech audio files into text, seamlessly integrating with various forms and fields.
• SMS/MMS Alerts: A much-requested feature from our customers, this allows for the creation of text message alerts, with recipient information sourced from user profiles, enhancing communication and alert mechanisms.
• Robust Email Delivery: Designed for heavy users, this feature ensures the reliability of system-generated emails, with monitoring and multiple retry mechanisms to guarantee delivery.
