Support at every step

The challenge

Previously part of a larger organisation, KRG utilised Microsoft Dynamics and other enterprise software solutions to help manage documentation and quality. However, following its divestment, KRG faced the significant challenge of starting over with its data management and reporting systems.

KRG encountered several challenges in rebuilding its systems from scratch. The company struggled with inefficient processes for managing quality issues and non-conformances, which led to significant administrative costs. Additionally, the lack of integration between departments made reporting a time-consuming and cumbersome task for the team.

Initially relying on complex Access databases and Excel spreadsheets, the company quickly realised it needed a more flexible and customisable solution to support its operations effectively.

Our solution

KRG needed a centralised QMS and Document Management solution that could be customised to meet their specific requirements. The team chose to implement Singlepoint because it gave the team the flexibility to design their own reporting systems and data management processes.

KRG makes use of several key modules and features within Singlepoint:

  • Issue Manager: Simplifies the management and resolution of non-conformance issues, making the process more efficient.
  • Calibration Manager: Ensures all equipment is calibrated to strict standards, essential for maintaining high-quality outputs.
  • Audit Module: Improves the company’s compliance capabilities by providing a comprehensive and reliable audit trail.
  • Document Management Module: This module optimises the handling of large volumes of documentation, particularly for aerospace and defence customers who require thorough records.
  • Business Intelligence: All data is integrated with Singlepoint’s business intelligence capabilities, enabling effortless reporting in real time.
  • Development and Testing Platform: This provides a separate environment for development and testing, allowing the company to experiment and refine processes without disrupting day-to-day operations. This ensures that new features and customisations are thoroughly vetted before being implemented in the live environment, reducing risks and enhancing system reliability.

The Results

The implementation of Singlepoint has led to substantial improvements across KRG’s operations:

Cost Savings

By streamlining its quality management processes with Singlepoint, KRG achieved significant cost savings. As Andy Smith explains,

“The Singlepoint platform has reduced the administrative cost of a non-conformance by 50%, which is equivalent to half a person per year in savings.”

This reduction in administrative overhead equates to an annual saving of £20,000 in labour costs alone.

Administrative Efficiency

The integration with Singlepoint’s BI functionality has been transformative for the company. Andy Smith remarked on the ease and speed with which reports can be generated.

“Building reports in Singlepoint is so simple. I can create a full-colour report with graphs and numbers in just 15 minutes, and publish it immediately.”

This flexibility has enabled the team to create both customer-facing and internal reports, providing the right level of detail for each audience, but all based on the same underlying data.

Improved Controls

Enhanced administrative controls and permissions management have led to better governance and data security.

Compliance

KRG’s use of Singlepoint has received high praise from auditors, particularly for the Document Management module, which auditors described as, “the best they’ve ever seen.”

This has significantly streamlined the audit process, especially for KRG’s aerospace and defence customers, who require extensive documentation.

Customisation and Future-Proofing

The flexibility of Singlepoint has been a key advantage for KRG, allowing them to customise the platform to meet their evolving needs. Andy Smith highlighted this benefit:

“Singlepoint is future-proof. Whether we need to streamline admin processes or add new capabilities, we can customise the platform to meet our evolving needs. The flexibility and cost savings have been game-changing for our business.”
